Property Operations Coordinator

We are seeking an experienced Property Operations Coordinator to join our team. This role is responsible for coordinating the day-to-day operations of our property management team, ensuring smooth communication with tenants and comprehensive support to our on-site Property Manager.

Key Responsibilities:
  • Maintenance Management:
    • Manage the maintenance process from start to finish, including work order triage, vendor/technician coordination, tracking, and ensuring timely completion.
    • Monitor maintenance requests and ensure prompt resolution.
  • Tenant Relations & Concern Resolution:
    • Proactively resolve tenant concerns and inquiries, serving as a primary point of contact for residents.
    • Communicate effectively with tenants to resolve issues in a timely manner.
  • Proactive PM Support & On-Site Coordination:
    • Provide comprehensive remote support to the on-site Property Manager, coordinating all necessary on-site activities, providing detailed instructions, checklists, and scheduling.
    • Assist the on-site Property Manager in achieving their goals and objectives.
  • Data Organization & Record Keeping:
    • Maintain accurate maintenance records and property data within AppFolio, ensuring meticulous organization and compliance with regulatory requirements.
    • Track and report key performance indicators (KPIs) related to maintenance and property operations.
  • Rent Collection:
    • Assist with timely rent collection processing, including sending late notices and supporting collection efforts.
    • Monitor rent payments and communicate with tenants regarding outstanding balances.

Requirements:

  • 3+ years of experience in property operations or a related field
  • Proven track record of success in maintaining high levels of customer satisfaction

  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office and other software applications
