High-Level Support Specialist

This is a dynamic opportunity to support senior leadership and drive business growth through strategic administrative, financial, and project management initiatives. Our client is a forward-thinking organization dedicated to empowering professionals to make informed decisions.

As a High-Level Support Specialist, you will provide critical support to the executive team, including drafting reports, managing confidential data, assisting with financial analysis, and transitioning into a Chief of Staff-type role to optimize business operations. You will maintain databases, records, and confidential files while ensuring discretion and confidentiality in all activities.

  • Administrative & Executive Support:
  • Draft, proofread, and edit business documents, reports, and memos.
  • Maintain databases, records, and confidential files.
  • Act as the first point of contact for the executive when needed.
  • Ensure the highest level of discretion and confidentiality in all activities.
  • Financial & Operational Support:
  • Assist with basic financial modeling and data analysis using Excel and Google Sheets.
  • Write monthly executive reports.
  • Help track budgets, expenses, and operational KPIs.
  • Support invoice processing, vendor management, and procurement.
  • Assist in building and refining internal business processes and workflows.
  • Strategic & Project Management Support:
  • Take ownership of special projects that drive business growth and efficiency.
  • Assist in researching and implementing new tools and processes.
  • Develop an understanding of company strategy and assist with planning initiatives.
  • Gradually take on Chief of Staff responsibilities, helping to streamline operations and optimize executive bandwidth.

The ideal candidate will possess 3+ years of experience in a virtual executive assistant role, 1+ years of experience interacting with corporate finance, including financial modeling and tracking KPIs. They should have strong Microsoft Office and Google Suite proficiency, excellent communication, writing, proofreading, and editing abilities. The ability to handle multiple projects simultaneously with minimal supervision is essential. A high level of discretion, confidentiality, and professionalism is required.

Preferred qualifications include experience working with startups, consulting, or financial/operational roles, background in business operations, strategy, or finance, prior exposure to Chief of Staff-type responsibilities, and a strong process improvement and automation mindset.
