
Administrative Support Professional

As a Virtual Executive Assistant, you will play a critical role in supporting senior executives across Australia and New Zealand. Your primary responsibility will be to provide exceptional administrative support services for member firms.
You will work in a fast-paced environment with a dynamic team of Virtual Executive Assistants. We are seeking individuals who can provide top-notch calendar and meeting management, email management, travel logistics, event management, expense reimbursement, client relationship management, documentation preparation, and other administrative tasks as needed.
Key Responsibilities- Calendar/Meeting Management: Coordinate diaries and schedules with internal and external stakeholders on behalf of the executive.
- Email Management: Screen, respond to, and/or action emails as necessary.
- Travel Management: Arrange flight and hotel accommodations, and other logistical requirements.
- Expense Management: Track and submit expenses for reimbursement or payment requisition and adhere to deadlines.
- Events Management: Assist in setting up logistics and coordination of invites and RSVPs.
- Timesheet Management: Track, enter, and submit the worked hours of the executive.
- Telephone Management: Relay accurate and detailed messages and transfer calls as required.
- Client Relationship Management: Build relationships with clients and their EAs, update and maintain client lists, and report on clients and/or markets.
- Bachelor's Degree (any field)
- Minimum of 2 years' experience in Executive Assistance/Secretary/Admin Support
- Customer service experience working with multiple stakeholders
- Proficient in MS Office (Outlook, Excel, Word, PowerPoint)
- Strong English communication skills, both written and spoken
- Ability to handle multiple executives, priorities, and deadlines
