
Backend Operations Coordinator

We're seeking a highly organized and proactive Operational Assistant to join our team.
- To manage documents, trackers, and operational workflows efficiently.
- To oversee and audit time tracking for all contractors and external staff, ensuring accuracy and compliance.
- To prepare and send client contracts using established templates, maintaining professional standards.
- To track key deadlines and ensure critical actions are followed up on in a timely manner.
- To own and manage the invoicing process, ensuring all hours are invoiced correctly and on time.
- To assist in processing salary and contractor payments while keeping records organized and up to date.
- To support with finance-related admin tasks, including receipts, documentation, reconciliations, and other duties as required.
- To research relevant awards, events, partnerships, and apply to them as needed, identifying opportunities for growth and development.
- To support with ad hoc projects, market research, and executive reporting, providing valuable insights and recommendations.
- To help manage calendars, reminders, and weekly execution checklists, ensuring seamless coordination and communication.
- A Bachelor's degree or higher in Finance, Accounting, Business, or a related field, demonstrating academic excellence.
- Proven experience in administrative, financial operations, or operational support roles, showcasing expertise and skills.
- Strong analytical and organizational skills, with the ability to identify problems and develop effective solutions.
- Experience handling complex invoicing operations, ensuring accuracy and efficiency.
- The ability to take initiative and work independently, with minimal supervision.
- Thrives in fast-paced environments, remaining focused and efficient even under pressure.
- Detailed-oriented, with a commitment to quality and attention to detail.
- Professional communication skills, both written and verbal, with the ability to articulate complex ideas clearly.
- A background in staffing, outsourcing, or recruitment operations, offering additional expertise and knowledge.
- The confidence to hold stakeholders accountable, ensuring transparency and accountability.
- Experience working in international, fast-paced startup environments, with adaptability and resilience.
- Experience calculating financial metrics like burn rate, runway, churn, LTV/CAC, etc., providing valuable insights and analysis.
- Familiarity with tools like Notion, Google Workspace, Hubstaff, ClickUp, Xero/QuickBooks, with proficiency in software applications.
