Post Training Operations Assistant Role

This position supports the post training cycle, focusing on certificate and document preparation, course evaluation summaries, and participant record maintenance.

The ideal candidate will have strong coordination skills, ability to manage records effectively, and excellent communication and interpersonal abilities.

Main Responsibilities

I. Training Operations Support

  • Assist in monitoring participants' attendance, supporting resource persons during classes, and handling venue preparations for graduation events.
  • Coordinate catering requirements for on-campus training classes, assist in document preparations, and submit class pictures to relevant stakeholders.
  • Prepare evaluation summaries for sending to Resource Persons and Management Committee.

II. Records and Documentation Operations (RDO) Support

  • Maintain accurate records of participants in student databases and stockrooms, process requests for records, and initiate correspondences/memos related to document processing.
  • Coordinate with internal and external stakeholders to schedule document release, prepare certificates of attendance/completion, and diplomas.
  • Distribute signed diplomas, grade certificates, and certificates of completion.

III. Administrative Support

  • Attend to participants' inquiries, direct them to concerned parties via email and phone calls, and maintain orderliness and cleanliness of the department.
  • Coordinate with colleagues to complete monitoring sheets and submit post-course requirements.

IV. Performs other work-related tasks as required by the Immediate Supervisor and/or authorized representative.

Requirements

Key Skills: Excellent coordination, communication, and interpersonal skills; ability to apply records management standards effectively.

Education and Experience: At least 2 years of relevant work experience.
