The Role: Sales Administrator Support

This role reports directly to the Head of Sales and supports the sales team by organizing administrative tasks and ensuring consistency in business processes across regions.

Responsibilities:

  1. Support the sales team with all their needs, including administrative tasks such as taking meeting notes, creating proposals, drafting agreements, conducting feasibility studies, updating deals, and revising contracts.
  2. Ensure all inbound leads from various sources are tracked on State of Sale, including enquiry forms, emails, calendar bookings, brochure downloads, website chats, etc.
  3. Create deals on HubSpot and assign them accordingly to Client/Sales Directors.
  4. Monitor leads that are not being contacted and chase the assigned Client/Sales Director to reach out to them as soon as possible.
  5. Update deal properties, including status, closed date, probability, amount, deal owner/source/manager, meetings notes, associated contacts, and other important information.
  6. Update client contact information on State of Sale and Hubspot, informing Client/Sales Directors about recent changes.
  7. Assign tasks for Client/Sales Directors on HubSpot to ensure follow-up on key opportunities and prevent potential opportunities from being overlooked.
  8. Remind the team to submit event reviews and feedback on time.
  9. Assist the Head of Client Relations in communicating changes, new initiatives, and tasks to the sales team.
  10. Perform other necessary administrative tasks, such as data entry, presenting data for monthly and quarterly sales reports, etc.
Required Skills and Qualifications

To excel in this role, you should have:

  • Experience in sales support, administrative roles, or similar positions.
  • Proficiency with CRM tools like HubSpot and sales management systems.
  • Excellent organizational skills and attention to detail for tracking leads and updating records.
  • Outstanding English communication skills, both written and verbal.
  • Ability to create proposals, draft agreements, and prepare presentations or reports.
  • Familiarity with data entry, lead management, and task assignment processes.
