Job Overview

We are seeking a highly organized and detail-focused Administrative Assistant to provide support to our Construction team. The ideal candidate will possess excellent communication skills, be proficient in Microsoft Office Suite, and have experience working in a fast-paced environment.


Key Responsibilities:

  • Provide daily administrative support to the Director of Construction
  • Manage calendars, schedule meetings, and coordinate appointments with contractors and vendors
  • Prepare and organize construction-related documents including contracts, permits, and reports
  • Track project timelines, deliverables, and budgets using project management tools
  • Assist in vendor communication and follow-ups to ensure timely execution of tasks
  • Maintain organized digital filing systems for construction projects
  • Support invoice processing and expense tracking
  • Prepare expense reports in an accurate and timely manner
  • Prepare presentations, spreadsheets, and reports as needed

Requirements

The successful candidate will possess:

  • A minimum of three years of full-time work experience
  • Excellent organizational skills, including the ability to prioritize and multi-task
  • Working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook
  • Ability to communicate effectively and professionally with all levels of the organization and externally with vendors and other outside parties
  • Ability to work independently and with minimum supervision
  • Ability to work in a fast-paced environment
