Job Overview

This role involves providing technical operations support to an organization. As a technical operations specialist, you will be responsible for designing and running the operational backbone of the client, automating away inefficiencies, and owning tasks from request to verified outcome.

You will partner closely with engineering and leadership, utilizing AI tools and modern ops software to maintain organized workflows, observable progress, and timely task completion.

Key Responsibilities
  • Ensure clear documentation and follow-up actions are maintained, and a centralized source of truth for assignments, deadlines, and statuses is established and updated regularly.
  • Handle inbound and outbound calls to stakeholders, ensuring clear communication, logging outcomes, and escalating as needed to meet service level agreements.
  • Anticipate potential issues and create buffers, reminders, and contingency plans to keep tasks on track. Utilize pre-reads and reminders to align teams with deadlines and ensure project timelines are met.
  • Develop a system for receipts, ensuring accurate categorization and reconciliation. Provide regular reports and flag discrepancies for prompt resolution.
  • Design low-code automations using tools like Notion, Airtable, Slack, and Zapier to streamline tasks and improve operational efficiency. Ensure automation reliability through logs and alerts.
  • Facilitate regular check-ins with engineering on project progress, blockers, and next steps. Maintain up-to-date documentation and project boards.
  • Use AI tools (e.g., ChatGPT/Claude) for drafting communications, SOPs, and summaries. Maintain and verify prompt templates and outputs for accuracy.
  • Organize Notion spaces and write SOPs. Maintain and regularly update operational documentation.
  • Monitor and track key performance indicators to ensure optimal operational performance.
