Job Description

As a Case Coordinator, you will be responsible for facilitating the smooth progression of client matters by managing workflows, tracking case statuses, and resolving workflow issues. Your primary goal is to ensure timely task completion, support reporting, and promote clear communication to maintain high operational standards.

This involves monitoring and tracking the firm's legal workflow pipeline to guarantee tasks and cases progress within deadlines and milestones. You will review case statuses weekly to identify overdue tasks, retainer replenishment needs, or delays requiring attention or resource adjustments.

Effective communication with attorneys, paralegals, and support staff is crucial in clarifying task assignments, addressing workflow issues, and ensuring progress is maintained. You will also assist in preparing and maintaining reports to highlight case progress, workflow patterns, and areas needing improvement.

Additionally, you will conduct routine checks in the case management system to ensure deadlines, time entries, and documentation are accurate and up-to-date. This includes coordinating and facilitating case status meetings with the legal team, ensuring active cases are discussed, next steps identified, and tasks assigned appropriately.

Requirements

We seek candidates with at least 3 years of experience in a legal environment (e.g., case coordination, paralegal work, or legal operations). Strong understanding of legal workflows and case management processes is essential.

Candidates must be proficient in Microsoft Office Suite and case management systems. Commitment to maintaining confidentiality and exercising discretion with sensitive information is also required.

Additional qualifications include general knowledge of legal terminology and procedures, exceptional organizational skills with attention to detail and accuracy, and full fluency in English. Ability to work U.S. business hours (Pacific, Central, or Eastern Time) is mandatory.
