Bid Estimator Coordinator Job Summary

Our company is seeking a highly organized and proactive Bid Estimator Coordinator to support our estimating teams. In this role, you will coordinate and track bid proposals from initiation to submission.

  • The ideal candidate will ensure all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications.

  • You will organize files for executive review and maintain consistent folder structures.

  • Key responsibilities include soliciting and tracking supplier and subcontractor pricing, maintaining and updating a bid contact database with key partners, and ensuring all quotes are documented and properly saved for reference.

  • Collaboration with estimators on bid deadlines and scheduling, as well as assisting with software tracking and document management, is crucial in this position.

  • Generating summary bid reports and maintaining a bid calendar are also essential tasks.

  • Administrative & Compliance:

  • You will prepare and submit prequalification packages, bid bonds, and forms as required.

  • Ensure bid records are saved and easily accessible for audit and historical review.

  • Support the implementation of a Delegation of Authority (DOA) process to route bids for internal approvals.

  • Prior remote work experience and self-management in a virtual setting are must-haves.

  • Strong proficiency in Microsoft Excel is required (pivot tables, lookups, formatting, etc.).

  • Detail-oriented with strong organizational and follow-up skills.

  • Excellent written and verbal communication skills.
