Virtual Support Specialist

We are seeking a highly organized and proactive Virtual Support Specialist to support our fast-growing electrical services business.

Job Description:

This role is ideal for someone with excellent communication skills and experience in customer service, scheduling, administration, and light marketing tasks. The successful candidate will play a key role in streamlining daily operations, enabling the business owner to focus on growth and team management.

Key Responsibilities:
  • Handle 15–20 inbound and outbound calls daily from new and existing clients
  • Respond to email and text inquiries, including follow-ups and accounts receivable reminders
  • Schedule jobs and assign them to the appropriate field staff using ServiceMate
  • Manage CRM and lead pipeline through Podium
  • Update job statuses and customer information in ServiceMate
  • Upload invoices to Xero (no reconciliation required)
  • Create and post weekly updates on social media
  • Liaise with training providers and track apprentice progress
Requirements:
  • Excellent English communication (verbal and written)
  • Previous experience handling inbound/outbound customer calls
  • Strong organizational and multitasking abilities
  • Comfortable learning and using platforms like Podium and ServiceMate
  • Tech-savvy with good grasp of modern software tools
  • Experience in social media content management
  • Comfortable working independently and proactively
