Collection Specialist Job Description

We are seeking a highly skilled Collection Specialist to join our team. As a key member of our operations team, you will be responsible for managing and collecting outstanding accounts in a timely and efficient manner.

  1. Payment Follow-up: You will follow up on payments to ensure timely collection of outstanding accounts. This includes monitoring account activity, communicating with clients, and resolving any issues that may arise.
  2. Receipt Issuance: You will receive payments and issue provisional receipts as needed. This includes processing payments, generating receipts, and maintaining accurate records.
  3. PDC Warehousing: You will accept PDCs (post-dated checks) as premium payments, provided they are within the agent's credit term. This includes verifying payment information, issuing receipts, and storing PDCs securely.
  4. Daily Collection Report: You will encode provisional receipts, cash, and PDCs received for the day in the Daily Collection Report. This report will be reviewed and reconciled by your supervisor before submission to the cashier for receipting.
  5. Remittance Scheduling: You will prepare and reconcile remittance schedules for bulk payments. This includes processing payments, generating reports, and submitting them for Official Receipt issuance.
  6. Credit Memo Preparation: For accounts with overpayment, you will prepare credit memos and journal vouchers, and submit them to accounting for adjustments.
  7. Final Notice Delivery: You will send final notices to branch heads, intermediaries, and assureds prior to policy cancellations.
  8. Query Resolution: You will attend to queries and concerns of intermediaries, assureds, and distribution channels.
  9. Team Collaboration: You will coordinate closely with branch heads and other sales personnel within the branch.
  10. Process Improvement: You will recommend improvements to address procedural errors, delays, and enhance service efficiency.
Required Skills and Qualifications
  • You must be a college graduate, preferably in business-related courses.
  • You should be action-oriented, with good composure and customer focus.
  • You must have integrity and trustworthiness.
  • You should be able to maintain peer relationships.
  • You must be proficient in Microsoft Office.
