Job Description
As an Office Secretary, you will be responsible for greeting and assisting visitors, screening phone calls, taking detailed minutes during meetings, organizing schedules of drivers and vehicle assignments, and preparing regularly scheduled reports. You will also ensure the operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories.
Additionally, you will provide general support to Executive Management and O&M Administrator in handling requests and queries. You will receive administrative-related invoices and review their accuracy before forwarding them to the Accounting Team.
Key responsibilities include:
- Greeting and assisting visitors to the office
- Screening phone calls and routing callers to the appropriate party
- Taking detailed minutes during meetings
- Organizing schedule of drivers and vehicle assignments
- Assisting in the preparation of regularly scheduled reports
- Ensuring operation of equipment by completing preventive maintenance requirements, calling for repairs, and maintaining equipment inventories
- Providing general support to Executive Management and O&M Administrator in handling requests and queries
- Receiving admin-related invoices and reviewing accuracy before forwarding them to the Accounting Team
Required Skills and Qualifications
To be successful in this role, you should have a Graduate degree in Business Administration or a related field. At least 1-2 years' experience in the field is required. Additionally, you should possess working knowledge of office management systems and procedures and be proficient in MS Office.
You should be comfortable with routinely shifting demands and be able to work effectively in a fast-paced environment.
