
Full-Time Administrative Assistant

We are seeking a highly organized and proactive individual to support an architecture manager with daily administrative and coordination tasks. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities.
- Sort and prioritize emails, draft responses, and flag urgent messages
- Open and organize tasks for the architecture manager
- Maintain task management systems and follow up on pending items
- Schedule meetings, manage calendars, and coordinate project timelines
- Handle basic document organization and report preparation
Requirements:
- Qualifications:
- Minimum 3 years of experience as an executive assistant, project coordinator, or similar administrative role, preferably in architecture or construction
- Strong organizational and time management skills
- Excellent English communication skills (both written and verbal)
- Experience with email management and task management software
- Proficiency in Microsoft Office (Word, Excel) and Google Suite (Docs, Sheets)
- Ability to handle confidential information with discretion
- Preferred Qualifications:
- Familiarity with architectural terminology and workflows
- Experience using ClickUp, Monday.com, Asana, Trello, or similar task management software
- Background in architecture, construction, or a related industry is a plus
Working Schedule:
- Work full-time from 9 AM - 5 PM EST
- Work from home
