Job Title: Administrative Assistant for Property Operations

The role of an administrative assistant in property operations is to provide support in the daily management of properties.

This involves handling resident communication, coordinating with vendors, and scheduling inspections across multiple locations.

Responsibilities include making professional calls for payment collection, sending bulk email notifications, maintaining spreadsheets tracking payment status, and scheduling inspections with certified service companies.

The ideal candidate has 2–3 years of experience in administration, preferably in real estate, property management, or customer service. They should possess excellent phone and communication skills, proficiency in using spreadsheets and email management tools, and the ability to manage multiple projects efficiently.

The administrative assistant will also be responsible for generating reports on completed tasks and ongoing projects, keeping detailed records of all communications and activities, and coordinating with vendors and managing schedules.

The role requires a highly organized and capable individual who can meet deadlines independently and provide professional and reliable communication with residents, vendors, and team members.

  • Make professional outbound calls to residents for payment collection and fee follow-ups.
  • Send bulk email notices to residents regarding payments and updates.
  • Maintain spreadsheets tracking payment status and collection activity across properties.
  • Schedule inspections with certified service companies.
  • Track vendor proposals and ensure certifications are up to date.
  • Manage multiple ongoing projects across properties, ensuring deadlines are met.
  • Assist with personal administrative tasks as needed.
  • Generate reports on completed tasks and ongoing projects for regular check-ins.
  • Keep detailed records of all communications and activities.
