Logistics Coordinator Job Description

This entry-level position is ideal for a detail-oriented individual who can assist in various tasks related to shipment coordination and scheduling, documentation support, compliance assistance, standard operating procedures support, and cost awareness and optimization support.

About the Role:

  • Shipment Coordination & Scheduling:
    • Assist with the coordination and scheduling of inbound shipments from suppliers and manufacturers.
    • Help track shipments using reliable methods to ensure timely delivery.
    • Support the selection of transportation methods (air, sea, road, rail) based on guidance from team members.
  • Documentation Support:
    • Help prepare and organize basic import documentation (e.g., invoices, packing lists).
    • Learn how to ensure documents are accurate and complete by double-checking details.
    • Assist with document filing and sharing with relevant teams or partners through secure channels.
  • Compliance Assistance:
    • Support the team in learning and following customs and import regulations.
    • Assist with the gathering of documents for customs brokers and internal use to ensure seamless clearance.
    • Learn about the customs clearance process and help resolve minor issues under supervision to prevent delays.
  • Standard Operating Procedures (SOP) Support:
    • Help document processes and update internal SOPs as directed to maintain consistency.
    • Participate in improving team workflows through feedback and collaboration to enhance efficiency.
    • Communicate with suppliers via email or phone to confirm shipment details and clarify any doubts.
    • Report shipment status and updates to internal teams to keep everyone informed.
    • Help resolve fundamental shipment discrepancies with guidance to prevent errors.
  • Cost Awareness & Optimization Support:
    • Assist in gathering quotes and rate comparisons for shipments to ensure best value.
    • Support the tracking and logging of shipping-related expenses to maintain transparency.
    • Report delays or issues to senior staff to facilitate prompt resolution.
    • Assist in documenting and tracking shipping challenges to identify areas for improvement.
    • Learn how to support contingency planning and problem resolution to minimize disruptions.
