Job Summary

Key Responsibilities
  • Front Desk Management:
    • Provide support on the reception/front desk through answering and dispersing calls and inquiries, welcoming and/or receiving applicants, visitors, and clients of the Company.
    • Respond to and/or address tenant concerns and walk-in inquiries, handle daily incoming and outgoing mails, and receive, distribute, and file incoming letters, billings, invoices, documents, and/or other communications.
    • Manage the front office on a daily basis, assist with client requests such as photocopying, printing, and scanning documents, and process gatepass/work permit requests.
    • Prepare and accomplish errand forms, monitor the cleanliness in concessionaire areas, and perform any ad hoc duties as required.
  • General Services/Tenant Services:
    • Act as a point person/representative in the workplace, coordinate conference room reservations, and report and coordinate any workplace issues to ensure job completion.
    • Provide administrative support to members, provide unmatched customer experience, build strong relationships with members, and enforce company policies, procedures, safety, health regulations, and standards.
  • General Admin:
    • Attend to ticket requests within the specified Service Level Agreement (SLA), assist with office walk tours with prospective clients and marketing events, offer and serve refreshments to clients, and assist with simple troubleshooting IT concerns such as Wi-Fi connection and LAN/HDMI borrowing.
    • Coordinate with vendors for client requests below PHP 20,000, distribute monthly treats, follow operational processes and procedures, and enforce house rules and security policies.
  • General Office Maintenance/Facilities Management:
    • Maintain office show-readiness, cleanliness, and maintenance, conduct random facilities walkthroughs to report current and urgent issues, and handle foreseen issues and members' needs.
    • Coordinate with the Customer Success Lead for any facilities/building issues.
Requirements
  • Bachelor of Science in Business Administration, BS HRM, BS Tourism, or any similar courses.
  • At least 1-2 years of work experience as a Front Office Staff or Admin Assistant.
  • Knowledgeable in MS Office applications (MS Word, Excel, PowerPoint, Office 365).
  • Hospitality or customer service background is a plus.
  • Capable of dealing with local staff and foreign clients.
  • Enthusiastic, outgoing, responsible, motivated, dedicated, detail-oriented, and driven personality.
  • Superb verbal and written communication skills.
  • Has high attention to detail, fast learner.
  • Excellent interpersonal skills.
  • Extraordinary multitasking skills.
  • Good time management skills.
  • Capable of working under minimal supervision.
  • Ability to present well to high-level clients – local and foreign.
  • Ability to deliver services with the highest standards.
  • Willing to work on a shifting schedule.
