Financial Operations Specialist

Key Responsibilities:
  • Manage day-to-day financial operations: reconcile accounts, process invoices, manage expenses, and handle general ledger entries
  • Capture, code, and file supplier receipts and invoices; ensure digital documents are organized and audit-ready
  • Process and track accounts payable and receivable; prepare supplier payments and chase incoming payments as needed
  • Collaborate with senior management to support accurate job costing: allocate materials, labour, and overhead to relevant projects
  • Reconcile bank and credit card statements regularly
  • Prepare monthly management reports: P&L, cash-flow statements, project cost summaries
  • Assist with Business Activity Statement (BAS) preparation and liaise with external accountants for GST and tax matters

What You Bring

  • Proven experience (2+ years) in bookkeeping using Xero
  • Proficiency with Dext (or similar receipt-capturing tools)
  • Strong understanding of bookkeeping workflows: invoicing, reconciliation, tracking expenses, and job costing
  • Exceptional organisational skills and attention to detail in both financial and admin tasks
  • Comfortable working in a small, collaborative team where adaptability is key
  • Excellent communication skills, both written and verbal
