
Document Preparation Specialist

The Document Preparation Team is a key component of our organization. We are looking for a skilled Document Preparation Specialist to join our team.
This role involves providing essential support by preparing necessary documents and generating contract drafts. The primary goal is to maintain the company's records, create all relevant documentation, and manage clients' expectations by adhering to standard procedures.
The ideal candidate will have experience working with legal concepts, definitions, and documentation, as well as delivering exceptional customer service. Strong written and verbal skills are required for regular communications to various stakeholders, including team members and clients.
Responsibilities- Data entry and drafting contracts according to established procedures
- Identifying and ordering searches required for client properties based on type and location
- Cultivating relationships and building trust with clients throughout all stages of communication
- Gathering personal and confidential information from Australian clients and encoding it appropriately in the system
- Updating relevant parties within the internal team on the progress of contract drafts
- Creating and/or updating records with new files and information
- Maintaining accurate service fees and charges for clients and creating invoices for disbursements
- Ensuring compliance with established procedures
To be successful in this role, you must have:
- A completed Bachelor's degree
- Experience working with legal concepts, definitions, and documentation preferred
- Excellent customer service skills
- 1-2 years direct customer contact (written and phone-based) experience working with Aust/NZ, US, or UK customers
- Strong written and verbal skills for regular communications to various stakeholders
- Critical thinking skills and a proactive approach to problem-solving
- Efficient – able to handle multiple demands while remaining flexible and adaptable to change
This role works primarily from a home setup. To be considered for this opportunity, you must demonstrate that your home environment meets the following requirements:
- A conducive home office free from noise and distractions
- Main internet: wired internet with a minimum speed of 50mbps
- Reliable backup internet with a minimum speed of 10mbps
