Job Title: Healthcare Information Specialist

We are seeking a skilled Healthcare Information Specialist to join our team. In this role, you will be responsible for managing and processing medical records requests in a secure and timely manner.

Key Responsibilities:

  • Record Management: Receive, validate, and process incoming medical records requests from families, external billing companies, payers, attorneys, and other authorized agencies.
  • Authorization Verification: Verify the identity and authority of requestors, confirm the scope, purpose, and expiration of authorizations, and check for minimum necessary requirements.
  • Clinical Clearance: Route requests and proposed record sets to treating clinicians and psychiatric/psych prescribing providers for review and written approval.
  • Legal Request Handling: Review subpoenas, court orders, and payer audits, and route complex matters to Privacy/Compliance and Lead Accounting Assistant for guidance/approval.
  • Record Preparation: Retrieve designated record sets, apply naming conventions, paginate and assemble PDFs, redact restricted content, and use secure encryption for outbound delivery.
  • Fulfillment and Documentation: Send records via approved secure methods, record date/time, contents, recipient, method, and authorizing document, and maintain an auditable chain of custody.
  • Quality and Audits: Perform self-checks and participate in periodic ROI audits, and remediate findings promptly.

Required Skills and Qualifications:

  • Bachelor's degree in Health Information Management, Healthcare Administration, or related field.
  • 2+ years of experience in medical records, health information management, payer documentation support, or billing/finance operations in a healthcare setting.
  • Proven knowledge of HIPAA privacy/security requirements and the minimum necessary standard.
  • Strong written communication skills, with ability to write concise, professional, and empathetic emails.
  • High accuracy with document handling, PDF redaction, and file organization.
