
Project Order Manager

We are seeking an organized and detail-oriented professional to support our team in ensuring smooth end-to-end order fulfillment.
This role plays a key part in processing, tracking, and billing customer orders with accuracy and efficiency. The ideal candidate thrives in fast-paced environments, has excellent project management skills, and can effectively meet deadlines while managing multiple tasks.
Key Responsibilities- Process customer orders, track and bill accurately.
- Assist in preparing product specifications, pricing research, and vendor discussions.
- Submit and manage new customer and vendor forms for approval.
- Support the development of client proposals as needed.
- Verify and manage manufacturer orders, ensuring accuracy in details and specifications.
- Utilize software to manage order processing and documentation.
- Work with product specifications and cap worksheets to create and review product details.
- Follow up on order status, delivery schedules, and issue resolution to ensure smooth operations.
- Maintain and update the order tracking system, providing regular reports.
- Coordinate deliveries and installations with warehouses and client representatives.
- Track warehouse receiving of products and ensure proper documentation.
- Ensure client satisfaction by assisting with final approvals and addressing any concerns.
- Process invoices and maintain well-organized project files.
- Excellent English communication skills – both verbal and written.
- Strong interpersonal skills – ability to interact effectively with clients and internal teams.
- Highly organized with strong project management skills – able to manage multiple tasks efficiently.
- Tech-oriented and comfortable with technology – must quickly adapt to various software tools.
- Experience with ERP software is required.
- Basic understanding of product specifications and familiarity with Cap Worksheets or similar tools.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to meet deadlines and work efficiently under pressure.
- Prior experience in customer service, order processing, or a similar role is preferred.
