Procurement Specialist

As a key member of our team, you will be responsible for supporting the entire procurement cycle, from reviewing purchase requests to sourcing and evaluating suppliers. Your expertise in procurement planning and process improvement will help ensure timely fulfillment and efficient operations.


Key Responsibilities
  1. Receiving and Processing Purchase Requests
    • Reviewing and validating approved purchase requests from various departments
    • Coordinating with concerned departments regarding material specifications and delivery schedules
  2. Sourcing and Evaluating Suppliers
    • Researching new suppliers and sending request for quotations (RFQ)
    • Evaluating and comparing quotations based on price, quality, lead time, and payment terms
  3. Creating Purchase Orders/Agreements
    • Encoding details of materials/services for purchase orders through ERP systems
    • Preparing agreements or contracts for consultants, contractors, or service providers
  4. Tracking and Coordinating Deliveries
    • Monitoring and coordinating with suppliers to ensure timely delivery
    • Coordinating with logistics and warehouse teams for delivery status
  5. Maintaining Records and Compliance
    • Keeping accurate and organized purchasing records - POs, contracts/agreements, supplier quotations, rates, quantities, delivery dates, receiving reports, and related documents
    • Ensuring audit readiness by maintaining traceable procurement documentation
  6. Request for Payment and Vendor Accreditation
    • Processing requests for payment for consultant's and contractor's billings as evaluated by QS department
    • Endorsing new vendors to accreditation agencies for vendor verification
  7. Compliance and Reporting
    • Ensuring procurement activities align with company standards and budgetary controls
    • Assisting in internal or external audit requirements related to procurement
  8. Support in Procurement Planning
    • Assisting in the preparation of annual procurement plans or forecasts
  9. Continuous Improvement
    • Participating in training or workshops related to procurement and supply chain management
    • Recommending improvements in procurement processes, tools, and documentation practices

    Requirements
  • Bachelor's degree in Business Administration, Supply Chain Management, Engineering, or a related field
  • Minimum of 3 years' experience in procurement, purchasing, or supply chain
  • Background in construction or engineering industries is an advantage
  • Familiar with procurement workflows, supplier evaluation, and ERP systems
  • Strong attention to detail, organizational skills, and proficiency in MS Office
