Finance Operations Associate

The position of Finance Operations Associate is responsible for providing financial, administrative, and clerical services to ensure efficient business operations. The individual shall be primarily accountable for the timely and accurate recording associated with the organization's overall balance sheet and income statement accounts in conformity with accounting standards, statutory and regulatory requirements.

• Financial Services Management:
  • Accrue interest expense and withholding taxes on a monthly basis
  • Amortize deferred financing costs and reclassify non-current portions to current portions every month
  • Prepare BIR 2307 forms for every due payment of loan
  • Prepare Request for Payment (RFP) of the loan from the Statement of Account (SOA) provided by the financial institution
• Prepayment & Accrual Management:
  • Amortize various insurance expenses on a monthly basis
  • Amortize land rental expense every month
  • Amortize other prepayment every month
  • Record PFRS16 entries every month if applicable to the entity
  • Update prepayment schedules every month
  • Accrue and/or reverse fixed expenses and update trial balance on a year-to-date amount
  • Prepare Request for Payment (RFP) associated with the Finance Shared Services team
  • Perform and validate fuel/steam cost calculation based on contracts and prepare request for payment and necessary reports
  • Validate transmission charges calculation and prepare request for payment and necessary reports
• Payroll Management:
  • Record employee salary deduction every month
  • Reconcile outstanding payroll clearing account with HR every month
• Audit Management:
  • Provide various documents requested by external auditors during interim and closing financial audit
  • Assist auditors and prepare any necessary schedules or analysis as related to the general ledger accounting
  • Responsible for providing explanation to auditor's various financial audit queries
  • Provide assistance to the Finance Shared Services Team Leader in the preparation of annual audited financial statements
  • Prepare various reports needed by Department of Energy (DOE) auditors for government share audit
• General Ledger And Other Schedules Management:
  • Check trial balance every week and ensure timely recording of any identified transactions that need to be reclassified
  • Ensure zero balances of clearing accounts every month
  • Coordinate with Accounts Payable on the outstanding balance of accrued procurement clearing and resolve issues encountered
  • Perform regular general ledger reconciliation, balance sheet and income statement analysis as assigned
  • Lead the preparation of Lead Schedule every month and coordinate with other teams to complete and resolve issues
  • Prepare various reports requested by other departments
  • Prepare intercompany transactions schedule, perform reconciliation and resolve discrepancies and issues every month
  • Review monthly subsidiary ledgers prepared by other teams and prepare adjusting or correction entries as necessary
  • Assist Finance Shared Services Team Leader build financial report templates as needed
  • Reconcile inventory listing report with General Ledger
  • Assist Finance Shared Services Team Leader with special projects as needed
  • Assist Finance Shared Services Team Leader with reporting and analysis requests from various departments
  • Provide administrative support to other teams to ensure efficient business operations
• Additional Tasks:
  • Conduct orientation of financial policies and procedures to new employees to ensure consistent compliance
  • Adhere to organizational Integrated Management Systems policies, standards, procedures and guidelines
  • Report Integrated Management System events/incidents or potential events or other risks to the organization
  • Protect information assets from unauthorized access, disclosure, modification, destruction or interference
  • Preserve confidentiality of financial information and materials
  • Perform other related duties and responsibilities assigned from time to time by immediate superior
