Key Role Overview

The Operations Specialist is a crucial support role for business leaders. This position requires an individual who can multitask and wear various hats, managing daily operations, project timelines, events, partnerships, and communications with ease.

This role demands a high level of organisation, strong project management skills, and the ability to work effectively in productivity tools like Google Workspace, MS Office, Slack, and Zoom.

Key Responsibilities:
  • Manage email inboxes efficiently using smart triage techniques.
  • Coordinate calendar scheduling and internal/external meetings with precision.
  • Plan travel arrangements with consideration and efficiency.
  • Record accurate meeting minutes and ensure follow-through on tasks.
  • Maintain CRM systems (e.g., Monday.com, HubSpot, Salesforce) with accuracy.
  • Organise and maintain shared drives and filing systems.
  • Compile guest lists, RSVPs, and event reminders effectively.
  • Support post-event surveys, reporting, and webinar content organisation.
  • Handle member and partner onboarding, communications, and database updates professionally.
  • Manage general queries with professionalism and track RSVPs for activations.
  • Compile year-end partner performance reports and presentation materials.
  • Develop and manage project trackers, timelines, and checklists.
  • Coordinate with stakeholders to gather inputs and updates across projects.
Requirements:
  • 3-5 years of experience as an Operations Specialist, Chief of Staff, or Executive Assistant at mid-senior level.
  • Strong organisational and project management skills.
  • Proficiency in productivity tools.
  • Excellent reporting and presentation-building skills.
  • Familiarity with advertising, media, or tech industries is beneficial.
  • Meticulous attention to detail and the ability to anticipate needs.
  • Strong communication skills, both written and verbal.
  • Discretion when handling sensitive information.
  • Ability to prioritise, stay resourceful, and perform under pressure.
