We are seeking a highly organized and detail-oriented professional to join our team as a Secretary/Bookkeeper in a remote work arrangement.

Job Responsibilities:
  • Provide administrative support to management and field staff by answering incoming phone calls, directing them appropriately or taking messages
  • Enter work orders into the system and update job statuses as needed, ensuring timely and accurate execution
  • Create and process invoices accurately, on time, and according to established procedures
  • Assist with accounts payable and receivable entries, maintaining financial records and reports
  • Research permit and license requirements for new projects, job sites, or services, providing critical information to ensure compliance
  • Maintain and organize digital and paper records for jobs, invoices, and documentation, guaranteeing seamless access and retrieval
  • Support scheduling, email correspondence, and other office tasks as needed, demonstrating flexibility and adaptability
Requirements:
  • Proven experience in an administrative or bookkeeping role, showcasing expertise and efficiency
  • Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook), leveraging software skills to enhance productivity
  • Excellent phone etiquette and communication skills, building strong relationships with stakeholders
  • Strong organizational and multitasking abilities, prioritizing tasks and managing multiple responsibilities effectively
  • Ability to work independently and handle confidential information, upholding trust and discretion
  • Familiarity with permit/license research or willingness to learn, demonstrating a commitment to ongoing development
  • High attention to detail and accuracy in data entry and invoicing, ensuring error-free execution
