You are a highly organized and detail-oriented professional who excels in handling administrative responsibilities, including calendar, task, and email management, call handling, database management, and document preparation.

As a virtual general assistant, you will provide exceptional support by overseeing daily operations through collaboration with management and key members of the organization.

  • Performing an array of administrative tasks from managing calendars, generating correspondence, answering calls, managing travel itineraries, scheduling appointments, and planning corporate meetings.
  • Helping improve current processes through standard operating procedure creation and process documentation for increased efficiency.
  • Acting as the main point of contact between staff, executives, senior leaders, and key stakeholders regarding company updates, employee well-being, project updates, proposals, and planning.
  • Assisting with new hires, including documentation and onboarding, and collaborating to address employee concerns.
  • Building relationships with clients and stakeholders while managing confidential information and correspondences.
  • Managing multiple projects and tasks across programs and functions and keeping communication lines open to address challenges.
Requirements

Consider yourself highly qualified if you have:

  • At least 5 years of experience in a similar role, such as executive assistant, GVA, or project manager.
  • Proven experience organizing and directing multiple projects and tasks.
  • Familiarity with web-based project management tools like Trello, Asana, and Slack.
  • Experience with word-processing software, spreadsheets, and customer relationship management systems.
  • Knowledge of online calendars and scheduling.
  • Excellent phone, email, and instant messaging communication skills.

Expected work hours and timezone: US business hours following the CEO/Founder's schedule. Occasional weekend work may be required due to business needs.
