
Administrative Support Specialist

The role of an Administrative Support Specialist involves providing remote assistance to the Front Office team, enabling on-site receptionists to focus on guest-facing activities.
This position requires managing incoming reservation emails and online booking inquiries, processing bookings in the Property Management System (PMS), completing daily reports, and sending booking confirmations and pre-arrival communications to guests.
- Key Responsibilities:
- Reservations & Guest Communication Support: Manage incoming reservation emails and online booking inquiries, process bookings in the PMS, complete daily reports, and send booking confirmations and pre-arrival communications to guests.
- Administration & Reporting: Assist with Night Audit preparation, ensure all guest profiles and reservation data are accurately maintained in the system.
- Virtual Reception Duties: Respond to basic guest queries via email or other communication platforms, support with follow-up on guest reviews or feedback where appropriate, handle overflow calls and transfer as needed.
- Financial Admin: Assist in reconciling daily takings and financial transactions, support with invoicing or preparing statements for corporate clients.
