About the Role

The Operations Specialist will act as a right-hand person to the CEO, handling various tasks with discretion and attention to detail.

  • Manage inboxes effectively and communicate clearly.
  • Owning calendar scheduling, coordinating internal and external meetings efficiently.
  • Booking travel and accommodation with foresight and precision.
  • Taking accurate meeting minutes and ensuring follow-through on action points.
Key Responsibilities
  • Maintaining CRM systems accurately, such as Monday.com, HubSpot, and Salesforce.
  • Organising and maintaining shared drives and filing systems.
  • Compiling and managing guest lists, RSVPs, and event reminders.
  • Supporting post-event surveys, reporting, and webinar content organisation.
  • Handling member and partner onboarding, communications, and database updates.
  • Managing general queries professionally and tracking RSVPs for activations.
  • Compiling year-end partner performance reports and presentation materials.
  • Building and managing project trackers, timelines, and checklists.
  • Coordinating with stakeholders to gather inputs and updates across projects.
Requirements
  • 3-5 years of experience in operations, chief of staff, or executive assistant roles at mid–senior level.
  • Strong organisational and project management skills.
  • Proficiency with productivity tools like Google Workspace, MS Office, Slack, and Zoom.
  • Excellent reporting and presentation-building skills.
  • Familiarity with advertising, media, or tech industries is beneficial.
  • Meticulous attention to detail and ability to anticipate needs.
  • Strong communication skills, both written and verbal.
  • Discretion when handling sensitive information.
  • Ability to prioritise, stay resourceful, and perform under pressure.
  • Relationship-driven, collaborative approach with a focus on solutions.
