Job Summary:

The primary objective of this role is to provide administrative support to senior management and field staff. To ensure seamless office operations, the ideal candidate will possess a high level of organizational skills, multitasking abilities, and attention to detail.

  • Key Responsibilities:
  • Field incoming phone calls and direct them accordingly or take messages
  • Enter work orders into the system and update job statuses as needed
  • Process invoices accurately and on time
  • Assist with accounts payable and receivable entries
  • Research permit and license requirements for new projects, job sites, or services
  • Maintain and organize digital records for jobs, invoices, and documentation
  • Support scheduling, email correspondence, and other administrative tasks as required
Requirements:
  • Proven experience in an administrative capacity
  • Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook)
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking capabilities
  • Ability to work independently and handle confidential information
  • Familiarity with research or willingness to learn

This is a remote position that requires strong technical skills and excellent communication skills.

Work Environment:

This role involves working from home and requires minimal supervision. The ideal candidate will be highly motivated and self-disciplined, with the ability to manage their time effectively and prioritize tasks efficiently.
