Job Overview

We are seeking a skilled and organized Transaction Coordinator/Assistant to provide exceptional support to our real estate professionals in managing transactions from contract to closing.

The ideal candidate will be responsible for ensuring all deadlines and requirements are met, preparing and reviewing contracts and agreements, coordinating with buyers, sellers, and other stakeholders, and maintaining accurate records in CRM and transaction management software.

  • Manage real estate transactions from contract to closing, adhering to established timelines and compliance regulations
  • Prepare, review, and submit real estate contracts, disclosures, and agreements in accordance with industry standards
  • Coordinate with various parties, including buyers, sellers, title companies, lenders, inspectors, and other stakeholders to facilitate smooth transaction progression
  • Monitor key deadlines and ensure all necessary paperwork is completed on time, minimizing delays and risks
  • Schedule inspections, appraisals, and closings while keeping all parties informed through timely updates and notifications
  • Maintain accurate and up-to-date transaction records in CRM and transaction management software, ensuring seamless access to critical information
  • Ensure compliance with real estate laws, brokerage policies, and contract requirements, mitigating potential risks and liabilities
  • Assist with listing coordination, including uploading property details to MLS and marketing platforms, maximizing visibility and exposure
  • Provide administrative support to real estate professionals, including email management, client follow-ups, and data entry, allowing them to focus on high-value tasks

The successful candidate will possess strong attention to detail, excellent organizational and time management skills, and exceptional communication and customer service abilities. They will also have experience in real estate transaction coordination, administrative support, or assistant roles, as well as proficiency in MLS, CRM systems, DocuSign, Dotloop, Skyslope, Google Workspace, and Microsoft Office.

Required Qualifications
  • Experience in real estate transaction coordination, administrative support, or assistant roles
  • Knowledge of real estate contracts, escrow, title processes, and compliance requirements
  • Proficiency in MLS, CRM systems, DocuSign, Dotloop, Skyslope, Google Workspace, and Microsoft Office
