Administrative Assistant

The Administrative Assistant provides administrative support to the company and its clients. Primary duties include inventory, procurement, and office administration.
Qualifications
- Graduate of any bachelor's degree, but preferably in Office Administration;
- Has work experience as an Administrative Assistant or similar role;
- Has knowledge of office administration (documents, facilities, travel, logistics, etc.);
- Has experience with office software like MS Office (MS Excel and MS Word, specifically);
- Has experience with events management is a plus;
- Strong organization skills with a problem-solving attitude;
- Excellent written and verbal communication skills in English;
- Willing to work on-site;
- Open to fresh graduates.
- Manages office supplies and equipment stock, and procures for replenishment;
- Prepares regular reports on office budgets and expenses;
- Maintains and updates company databases and directories;
- Organizes a filing system for important and confidential company documents;
- Disseminates announcements and advisories/notices;
- Distributes and stores correspondence (e.g. letters, e-mails, and packages);
- Answers queries by employees and clients;
- Books meeting rooms, and arrange travel and accommodations;
- Processes gate passes, work permits and other requests regarding facilities;
- Prepares reports and presentations with statistical data as assigned;
- Schedule in-house and external events;
- Handles coordination and logistics for client visits and other important company events;
- Purchasing and procurement;
- Company assets inventory and monitoring;
- Issuance of company properties to employees and their retrieval;
- Assists in preparation of onboarding necessities (i.e. company ID, access badge, welcome kit, equipment, etc.);
- Oversees all movements in the office
