Job Description

JOB OVERVIEW:
The Receptionist & Administration Assistant will perform a variety of reception and clerical tasks. Duties will include
being the first point of contact for all visitors, ensuring a lasting positive first impression portraying professionalism
and efficiency. Additionally, the role will require a keen eye for detail to ensure the office environment is maintained
according to standards and policy along with assisting in daily office needs and supporting our company's general
administrative activities.
YOU SHALL BE RESPONSIBLE FOR/IN:
. Communication and Research
. Meet and greet all staff and visitors, providing general support to visitors.
. Act as the point of contact for internal and external clients and partners.
. Maintain contact lists.
. Organize and schedule appointments.
. Prepare for and arrange meetings rooms.
. Book travel arrangements.
. Write and distribute email, correspondence memos, letters, and forms.
. Liaise with executive and senior administrative assistants to handle requests and queries from senior
managers.
. Arrange procurement of courier service.
. Monitoring and Reporting
. Assist in the preparation of regularly scheduled reports.
. Update and maintain office policies and procedures.
. Develop and maintain a filing system inventory of consumable supplies.
. Order office supplies and research new deals and suppliers.
. Submit and reconcile expense reports.
. Lead in maintaining the cleanliness of the office.
. Monitor of housekeeping and maintenance activities.
. Maintain records of non-consumable and fixed assets.


Qualifications:

SKILLS / ATTRIBUTES REQUIRED:
. Requirements and skills
. Effective communicators who speak clearly and are personable and welcoming when interacting with
staff and visitors.
. Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
. Excellent time management skills and the ability to prioritize work.
. Attention to detail and problem-solving skills.
. Excellent written and verbal communication skills
. Strong organizational skills with the ability to multi-task
. High School degree: additional qualification as an Administrative assistant or Secretary will be a plus.
