Job Summary:

The Facilities and Operations Manager is responsible for overseeing the daily operations, maintenance, and overall functionality of a flexible co-working space. This role ensures that the workspace remains efficient, secure, and aligned with the company's service standards, providing an exceptional experience for tenants and clients. The manager will lead a team to maintain a high-quality working environment, optimize space utilization, and implement operational improvements.

Key Responsibilities:

  1. Facilities Management
    • Oversee the maintenance, cleanliness, and functionality of the co-working space, ensuring a professional and welcoming environment.
    • Coordinate with vendors and service providers for repairs, cleaning, security, and IT infrastructure.
    • Conduct regular facility inspections to ensure compliance with safety, health, and regulatory standards.
    • Manage the procurement of office supplies, furniture, and equipment.
  2. Operations
    • Ensure smooth day-to-day operations, including front desk services, meeting room reservations, and event setup.
    • Implement policies and procedures to enhance the overall workspace experience.
    • Respond promptly to member concerns, facility-related issues, and service requests.
    • Ensure a stable and continuous internet connection.
  3. Team Leadership & Vendor Coordination
    • Supervise and train on-site staff, including receptionists and office assistants.
    • Manage relationships with external contractors, ensuring service level agreements (SLAs) are met.
    • Coordinate with Property Manager/Owner for any concerns in the building.
  4. Financial & Administrative Management
    • Oversee budget allocation for facilities, operations, and maintenance expenses.
    • Track and manage utility costs, ensuring energy efficiency and cost-effectiveness.
  5. Event & Emergency Preparedness
    • Support the execution of community events and networking activities within the space.
    • Implement emergency preparedness plans, including fire drills and security measures.
    • Ensure compliance with building regulations and emergency response protocols.
