Responsible for processing and monitoring orders, ensuring accurate documentation, and supporting sales logistics operations in a dynamic, growth-oriented company.

Your Role:

Key responsibilities include:

  • Processing Job Orders (JO), Sales Invoices (SI), and Delivery Receipts (DR) based on delivery commitments and stock availability, ensuring all required information is complete and accurate.
  • Tracking JO status in coordination with Purchasing and Shipping, and notifying Sales/Account Managers of any changes.
  • Monitoring undelivered items and ensuring all are delivered.
  • Presenting monthly reports on JO status.
  • Providing instructions to the Warehouse regarding deliveries.
  • Securing and verifying all details and attachments to the JO, such as Purchase Orders (PO), Requests for Quotation (RFQ), Purchase Requisition Sheets (PRS), computations, accruals, client terms, and warranties before ordering and delivery.
  • Organizing pull-out and deployment to TIM, including demo units, service units, and handling item returns.
  • Assisting Sales/Account Managers with delivery and after-sales service issues, accumulating and filing documents, and securing related documents, especially for project transactions.
  • Sending copies of client POs to the Warehouse as needed during deliveries.
  • Handling re-invoice and requests for retrieval of all SI and DR copies, ensuring Credit Memos (CM) are processed in the same month as re-invoice.
  • Coordinating with the Warehouse for printing Billing Statements (BS).
  • Scheduling billing on time and understanding client/project payment terms as approved by Management and stated in the client PO/Contract.
  • Routing documents related to projects.
  • Knowing project details such as deliveries, payment, billing, issues, and other related information.
  • Accumulating and filing documents accordingly.
  • Securing related documents, especially for project transactions.
About You:

To succeed in this role, you need to have:

  • Bachelor's/Degree in Finance, Sales Logistics, Supply Chain Management, or Operations Management.
  • No work experience required, but experience in Sales Logistics is an advantage.
  • Excellent customer service and client relations skills.
  • Flexibility, strong organizational skills, and a strong work ethic.
  • Willingness to work in ALVA Building C. Raymundo Ave., Pasig City.
