Job Description
As a Scheduling and Admin Specialist, you will coordinate and manage Care Professional schedules to ensure high-quality service delivery to clients. You'll also support broader administrative functions, helping maintain smooth daily operations and contributing to the overall efficiency and excellence of care services provided.

Shift: Mid Shift (Mon - Fri | 03:00 PM - 12:00 AM), Weekends Off

The Qualifications We Seek
- 1–3 years of relevant experience in a scheduling role within home care or related fields such as logistics
- Strong knowledge of IT systems, including Microsoft Office and CRM platforms, with the ability to learn new tools quickly
- Highly resilient and positive attitude with excellent written, virtual, and verbal communication skills
- Strong organizational and prioritization skills, with attention to detail in any work setting
- Self-motivated with the flexibility to adapt to changing role requirements
- Effective team player with strong collaboration skills to achieve shared goals
Your Daily Tasks
Scheduling
- Build efficient and effective schedules in coordination with the Scheduling Manager based on client and Care Professional needs
- Prepare schedules with consideration for travel time, holidays, training, and client visit cancellations
- Review and ensure consistency in Care Professional schedules, providing continuity to clients
- Match client schedules with their needs and assign Care Professionals with the right skills and competencies
- Monitor schedule stress points and report findings to the Scheduling Manager and Recruitment Manager
- Reconcile completed visits daily and investigate any non-compliance
- Review, approve, and manage Care Professional leave requests
- Create schedule templates for new and existing clients to maintain consistency
- Collaborate with the Care Compliance Auditor to ensure scheduling records are accurate and complete (visit notes, activities, etc.)
- Communicate with the UK team through approved and appropriate channels
Administrative Support
- Maintain updated databases for client and Care Professional records
- Support the Learning and Development Coordinators by ensuring digital learning platforms are current and flagging training non-compliance
- Assist the Recruitment Manager and Admin team with administrative tasks as needed
- Assist in compiling and producing monthly newsletters for clients and Care Professionals, ensuring timely and accurate content
- Maintain electronic record systems and support database management for networking, marketing, and Referral Provider Network (RPN) contacts
Other Duties
- Perform other tasks necessary for the smooth operation of the business
- Ensure compliance with Equality, Diversity, and Equal Opportunities policies in all aspects of work and service delivery
