Position Overview

Responsible for overseeing payroll processing, compliance with government regulations, and HR administrative tasks. This role ensures the efficient and accurate management of payroll, employee benefits, and HR services, ensuring compliance with labor laws and company policies. The ideal candidate will have in-depth expertise in payroll, HRIS administration, and compliance reporting.

Responsibilities

Payroll Processing
  • Manage the end-to-end payroll process, ensuring compliance with internal policies and Philippine labor laws.
  • Prepare payroll journal entries and submit them to the accounting department.
  • Process attendance and timekeeping as inputs to payroll.
  • Calculate last pay, including final settlements, deductions, and compliance with exit procedures.
  • Manage payroll calendar and schedule.
Reporting and Compliance
  • Generate and submit mandatory reports to government agencies (SSS, PhilHealth, Pag-IBIG) on time.
  • Prepare and file BIR reports, including alpha listings and other tax-related documents.
Compensation and Payroll Inputs
  • Process salary adjustments (merit increases, regularizations), bonus payments.
  • Run employee time and attendance records for accurate payroll computation.
Loans and Deductions Management
  • Process employee loans, advances, and deductions, ensuring timely and accurate remittance.
Benefits Administration
  • Conduct orientation for new hires and existing employees regarding benefits.
  • Track and process employee benefit claims and reimbursements, ensuring compliance with policies.
Payroll Vendor Management
  • Manage relationships with payroll vendors, ensuring service levels are met and issues resolved.
  • Evaluate and recommend improvements to vendor services and payroll processes.
Employment Documentation and HRIS Administration
  • Prepare Certificates of Employment and manage employment verification requests.
  • Maintain employee records, ensuring compliance with data privacy regulations.
  • Oversee the administration of the HRIS, ensuring data integrity and timely updates of employee records (201 files).
  • Ensure that changes in employment status and benefits are accurately reflected in the system.
Financial Planning Support
  • Provide manpower cost data for budgeting and financial forecasting.

Qualifications

Education
  • Bachelor's degree in Human Resources, Accounting, Business Administration, or a related field.
Experience
  • Minimum of 5 years of experience in payroll processing and HR services, preferably in the Philippines.
  • Experience with managing employee records, including maintaining 201 files.
  • Experience in working with payroll vendors and overseeing vendor services.
Skills and Knowledge
  • Strong knowledge of labor laws and government regulations related to payroll and employee benefits (e.g., SSS, PhilHealth, Pag-IBIG, BIR).
  • Proficiency in HRIS and payroll software; familiarity with accounting systems is a plus.
  • Excellent attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities, especially in handling payroll and compliance issues.
  • Ability to generate accurate payroll reports and submissions for internal and external stakeholders.
  • Effective communication and interpersonal skills for working with employees, vendors, and cross-functional teams.
  • Keen attention to deadlines and timelines, with the ability to manage multiple tasks effectively.
