The Sales and Service Administrator plays a critical role in supporting the sales and service teams by providing administrative assistance, ensuring smooth communication and managing the flow of information between clients, sales representatives and service teams. This position is essential for maintaining operational efficiency and enhancing the customer experience.

Responsibilities:
  • Track and report on sales & service progress, including monitoring pipeline activities and sales orders.
  • Coordinate demo and workshop schedule with the sales team.
  • Taking care of marketing activities, such as preparation of marketing materials and others.
  • Act as a point of contact for customer inquiries, addressing issues promptly and efficiently
  • Maintaining the SAP customer data for the organization. This includes creating and changing of customers in SAP.
  • Handle customer issues and liaising with relevant departments.
  • Ensure accurate records of customer interactions, service requests and outcomes.
  • Collaborate with finance team to resolve any billing or payment related queries.
  • Help follow-up on overdue accounts.
  • Coordinate with sales & service teams to ensure timely response to customer needs and requests.
  • Receiving documents from Sales & Services such as DR, SI, etc. received by customers and make sure the completion as required for AR collection.
  • As needed, acts as back-up for any related FI/Admin/HR activities.

General responsibility within the organization

  • Generally, supporting sales & service people in all the processes, but NOT taking care of technical issues.
  • Answering the phone and forwarding information to sales &service.
  • Checking the general mailboxes (Info.ph) to take care of incoming e-mails.
Requirements:
  • Bachelor's degree in business, sales, marketing or related field.
  • Experienced in administrative or customer service role preferably in sales or service-oriented environments.
  • Excellent verbal and written communication skills
  • Strong organizational and multi-tasking skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work well in a team and independently.
  • Detail-oriented with strong problem-solving abilities
