Overview

We are looking for a tech-savvy and highly organized Virtual Executive Assistant to join our team and provide comprehensive administrative and operational support to a career coaching business. The ideal candidate will thrive in a fast-paced environment, manage multiple tasks efficiently, and play a key role in client coordination, sales support, and social media management.

Key Responsibilities
  • Sales Support: Organize materials and data for daily sales meetings. Manage follow-ups after sales meetings and update progress in the CRM.
  • Client Coordination & Support: Schedule and reschedule client meetings, ensuring clear and timely communication. Prepare for daily client meetings and track follow-up action items or assignments.
  • Customer Support: Respond to program-related client inquiries and offer guidance as needed. Act as the first point of contact for client questions and basic troubleshooting.
  • Social Media Management: Create and schedule LinkedIn posts at least three times weekly. Monitor engagement and recommend improvements for content strategy.
  • Networking & Business Development: Coordinate networking calls and business development meetings. Maintain a system to track networking opportunities and follow-ups.
  • Qualifications & Skills: Exceptional organizational and time management skills. Strong written and verbal communication abilities. Proficiency in managing CRM systems and scheduling tools.
  • Technical Proficiencies (by importance):
    • Google Workspace (Intermediate to Advanced)
    • Microsoft Office (Intermediate, particularly Word and Excel)
    • ChatGPT (Preferred Intermediate; training available)
    • LinkedIn (Intermediate)
    • Zoom (Intermediate)
    • Calendly (Basic)
    • Adobe (Intermediate)
    • Canva (Intermediate to Advanced preferred)
    • MailChimp (Intermediate preferred; ability to edit templates and manage users)
    • PayPal (Basic invoicing)
    • Squarespace (Basic; Intermediate preferred)
    • Evernote (Basic)
    • Dropbox (Intermediate)
    • Monday.com, Fathom, and AirTable CRM (Training provided)
Preferred Qualifications
  • Experience supporting coaches, consultants, or service-oriented businesses.
  • Familiarity with LinkedIn content strategies and engagement.
