Overview

We're seeking a highly organized and tech-savvy Virtual Assistant to provide administrative, operational, and creative support to a consultancy Principal. This role is ideal for a detail-oriented professional fluent in English and experienced in managing complex schedules, digital files, and client communications. You'll play a key role in streamlining operations, enhancing productivity, and supporting business growth.

Key Responsibilities
  • Productivity & Organization
    • Proactively manage time, priorities, and workflow to support business growth
    • Maintain structured digital files and client records using Google Drive and cloud tools
    • Prepare meeting summaries and ensure continuity across client sessions
  • Calendar & Communication Management
    • Handle multiple email accounts and calendars across devices
    • Schedule cross-time zone appointments with precision and buffer awareness
    • Send reminders, follow-ups, and summaries to keep deadlines on track
  • Design & Social Media Support
    • Create branded graphics using Canva
    • Manage weekly content calendars and track engagement
    • Respond to prospects via LinkedIn and email to support the sales pipeline
  • Session & Project Coordination
    • Record and summarize client sessions using AI tools
    • Track progress in LMS platforms and update client metrics
    • Maintain organized portals for client learning and engagement
  • Operational Efficiency
    • Suggest improvements to systems and workflows
    • Handle sensitive client data with discretion and care
    • Act as a trusted extension of the Principal in client-facing interactions
  • Schedule Monday to Friday | 8 AM – 6PM PST

Qualifications
  • Fluent English (spoken and written) with clear diction
  • Experience in consulting, finance, or professional services
  • 3+ years supporting executives with calendar, email, and file management
  • Proficiency in Google Workspace, Canva, Zoom, Loom, MS Office, Spark
  • Familiarity with Apple devices (Mac, iPhone)
  • Strong attention to detail, proactive communication, and customer service mindset
