Position: Virtual Assistant

Job Description:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • System support and administration/help for staff and team members (ClientLinq CRM, Atlas (proprietary software), SharePoint intranet site (supporting team of approximately 40 people, though not all will need support)

  • Support entails becoming very familiar with the above-mentioned travel industry apps and supports our colleagues that are less tech savvy

  • On-line payment system back-up support (will provide training on this system)
  • Data entry, cross-checking and proofing of excel name lists and uploading into insurance platform (attention to detail important for this task)
  • Updating ClientLinq CRM / data entry

Other possible duties:

  • Formatting of documents in word/pdf editor
  • Assisting with PowerPoint presentations (using template we provide)
  • Other admin for executive/management team, assisting with projects as needed

Key Qualifications:

  • Fluency in English writing and speaking

● Intermediate Microsoft Office 365 (specifically Outlook, SharePoint, Excel, MS Forms)

● Tech savvy, able to learn new apps quickly (specifically ClientLinq, Atlas, SharePoint – we can provide training on

our systems as some are unique to our company)

● Must be able to communicate well both on the phone and in email

● Strong organizational skills

● Strong attention to detail

● Ability to learn quickly, adaptable

● Demonstrated history of working North American hours ideal

● Able to multi-task and support a fast-moving team

● Experience or knowledge of travel industry an asset

Shift / Hours:

Monday – Friday in one single shift, 8:30 AM EST - 5:30 PM EST. Note this is +12 or +13 Philippine time, which will be 8:30 PM PHT – 5:30 AM in PHT.
