We are a dynamic and rapidly growing company seeking a motivated HR Specialist to join our team. As an HR Specialist, you will play a key role in managing the payroll, billing, and incentive systems for outsourced employees. If you're a detail-oriented and driven individual with a passion for HR processes and payroll management, we would love to have you on our team

Job Description:
As an HR Specialist, you will be responsible for a variety of essential HR tasks, including but not limited to:

Agency Billing:
  1. Manage the billing of basic, overtime, incentive, and expense reimbursements for outsourced employees.
  2. Collaborate with agency partners to review and approve payroll submissions.
  3. Prepare and document billing policies and process flows.
  4. Conduct monthly meetings with agency partners to discuss billing policies.
  5. Forecast expenses related to outsourced employee payroll.
  6. Prepare quarterly accrual reports for billing purposes.
  7. Monitor and generate attendance reports for billing calculations.
  8. Prepare ad-hoc reports as required by the business regarding outsourced employee billing.
Payroll and Expense System Maintenance:
  1. Maintain the internal payroll and expense system, including work shift changes, expense reimbursements, holiday management, and approver changes.
  2. Coordinate with regional and global counterparts to ensure proper maintenance and updates of the payroll and expense system.
Outsourced Employee Incentives:
  1. Process and verify outsourced employee incentives to ensure compliance with company guidelines.
  2. Collaborate with agency specialists to process and track incentives.
Process Improvements / IT Automation / Audits & Compliance:
  1. Work closely with Global IT teams to automate payroll processes and improve the system for outsourced employees.
  2. Lead internal audits related to outsourced employee payroll and processes.
  3. Support monthly compliance testing related to outsourced employee billing and payroll.

Qualifications:

  1. Fresh graduates with a Bachelor's degree in Business Administration or a related course.
  2. Basic understanding of Philippine labor laws, particularly in relation to payroll processing.
  3. Proficiency in Microsoft Office programs, especially Excel.
  4. Prior experience in HR or payroll management is an advantage.
  5. Ability to work independently and manage tasks with minimal supervision.
  6. Experience in communicating and collaborating with diverse teams, including international colleagues (especially Chinese-speaking team members), is a plus.
