Your role and work environment
An Executive Assistant will handle tasks such as scheduling, reviewing, prioritizing, and responding to emails, answering and returning phone calls, organizing documents, maintaining records, taking notes during meetings, and performing other administrative duties to support the executive.
Your key responsibilities
- Act as a first point of contact
- Proactively manage and maintain the agenda of the Capability Hub Lead by scheduling meetings and conference calls, arranging appointments, and prioritizing sensitive matters
- Provide general administrative assistance, such as drafting emails and memos, and preparing communications on behalf of the executive
- Organize meetings, including scheduling, sending reminders, and arranging catering when necessary
- Accurately record minutes during meetings, prepare reports, and maintain comprehensive and accurate records and documents
- Collate data to prepare documents for review and presentation by the executive
- Answer phone calls and emails politely and professionally
- Coordinate travel arrangements
- Perform minor accounting duties, such as processing travel expenses and reconciling expenses and credit cards
- Welcome visitors and identify the purpose of their visit before directing them appropriately
- Perform miscellaneous support tasks
- Provide ad-hoc support for major projects as needed
- Liaise with other PAs internationally to ensure commitments are met

Proven track record and technical skills:
- Bachelor's Degree
- 5+ years of professional experience; international experience is a plus

- Strong time management and organizational skills
- Ability to manage multiple projects simultaneously
- Remain calm under pressure, multitask, and adapt to change
- Experience overseeing budgets and expenses (preferred)
- Strong Microsoft Office skills
- Proficient in English (spoken and written)
- Experience working in an international environment
- Tact and discretion
- Experience developing internal processes and filing systems
