The Onboarding Specialist will be responsible for delivering a smooth, engaging, and efficient onboarding experience for new hires. This role ensures that all employees are successfully integrated into the organization by coordinating pre-employment requirements, facilitating orientation sessions, and supporting new hires throughout their initial period of employment.

As aOnboarding Specialist you will lead the development and execution of a unified onboarding strategy for our global workforce. Operating across multiple regions, this role will be pivotal in ensuring that all new employees receive a consistent, engaging, and informative onboarding experience, tailored to regional nuances. Responsibilities include but not limited to:

Key Responsibilities.
  • Develop a comprehensive global onboarding strategy aligned with WebBeds' values and business objectives.
  • Collaborate with regional TCEP's and Hiring Managers to customize the onboarding process to meet regional requirements while maintaining a consistent global approach.
  • Work with IT to ensure all regions have sufficient new joiner equipment in advance, in line with annual hiring plans, and to create a video training library for all tools and technologies new employees may use within the organization, such as the Intranet, HRIS, MS Office suite, communication platforms, and other relevant software
  • Ensure clear communication to all new hires before their start date, including information about the first day, what to expect, and any preparation they need to do, through the system.
  • Administer reporting systems to ensure all employee documentation checklists are completed for compliance with local regulations
  • Design digital orientation materials and conduct weekly global induction sessions to introduce new joiners to WebBeds' culture, values, and expectations. Streamline orientation activities to ensure they are efficient and informative, providing new joiners with everything they need to start their journey with WebBeds
  • Create and oversee the design of welcome packs for new joiners, ensuring they contain relevant information about the company, its culture, and its policies
  • Explain company policies, procedures, and expectations, including safety protocols, and where this information can be located on the intranet for new joiners
  • Assign a mentor or buddy to help each new hire acclimate to the company culture, navigate the organization, and provide ongoing support. Include social activities and team-building exercises to help the new hire build relationships with colleagues and feel integrated into the team
  • Work with TCEP's to ensure hiring managers conduct 1-2-1 sessions with all new hires to set and track probation objectives, ensuring new joiners receive necessary support and feedback throughout their probation period
  • Work with Talent Transformation to ensure all new joiners have sessions booked at the end of probation to discuss career paths within the organization, training opportunities, and ways to grow and develop professionally
  • Gather feedback from new hires about their onboarding experience through employee surveys to continuously improve the process for future hires
  • Other tasks: Recruitment Admin (Sourcing, Paper screening etc.)
The skills we would love to see in your suitcase.
  • Minimum 5 years of experience across employee onboarding and new hire experience
  • 3+ years of experience in a strategic role
  • Bachelor's degree in Human Resources, Business Administration, or a related field
  • Proven experience in developing and implementing onboarding strategies within a global organization
  • Experience in delivering online training sessions/welcome orientations.
  • Strong understanding of HR/Talent & Culture best practices and employment laws internationally
  • Excellent communication and interpersonal skills, with the ability to work effectively with diverse teams and cultures
  • Experience in establishing professional relationships on a global level
  • Ability to work effectively in a fast-paced environment and manage multiple projects simultaneously
  • Creative thinking and problem-solving abilities
  • Highly driven to succeed, ability to multitask & take a pro active approach to your work
  • Ability to work across time zones & travel occasionally as needed
