Overview

Sales and Marketing Assistant (Remote) – Virtual Rockstar is seeking a full-time, remote administrator to support a client client’s sales and marketing efforts, manage client relationships, and help maintain their online presence within a physical therapy practice.

This is a remote, permanent position focused on execution of marketing activities, maintaining campaigns, events, and content under supervision after training.

Responsibilities
  • CRM Management: Track and manage patient information and interactions through the CRM system (HubSpot). Follow up with patients, schedule appointments, and handle inbound/outbound calls to maintain engagement.
  • Social Media Management: Post and manage content on social platforms (Instagram, Facebook, etc.). Create visuals with Canva for campaigns and clinic promotions. Monitor and respond to comments and messages.
  • Marketing Campaigns: Assist with development, execution, and analysis of marketing campaigns; monitor effectiveness and provide insights for improvement.
  • Content Creation: Collaborate to create engaging content, visuals, and materials aligned with the brand; support blog posts, newsletters, and other collateral.
  • Website & Online Presence: Maintain clinic website content (Squarespace); ensure information is up-to-date and aligned with marketing goals.
  • Event Coordination: Organize events, workshops, and gatherings to engage the community and promote services.
  • Data Analysis: Analyze marketing data (website traffic, social engagement) to support decisions and track ROI.
  • Client Support: Serve as a point of contact for patients and team members; assist with scheduling and administrative tasks.
  • Technical Support: Provide basic technical support for clinic tools and software; resolve issues promptly.
  • Review Monitoring: Monitor online reviews and respond appropriately to maintain a positive reputation.
  • Administrative Support: Schedule personal and family appointments for leadership; plan travel and itineraries as needed.
Requirements
  • Experience with platforms: Proficiency in HubSpot, Canva, Slack, Instagram, Google Drive/Sheets/Docs, Squarespace, and GoHighLevel preferred.
  • Organizational Skills: Ability to manage multiple tasks and deadlines effectively.
  • Communication: Excellent verbal and written communication; engaging with patients and team members professionally.
  • Creative Mindset: Ability to think creatively and produce engaging content.
  • Team Player: Enjoys working in a collaborative, team-oriented environment.
  • Tech-Savvy: Comfortable using digital tools and learning new systems.
  • Detail-Oriented: Strong attention to detail in managing information and campaigns.
  • Healthcare or Wellness Marketing experience is a plus but not required.
