Job Title: Executive Assistant Department: Executive Office Reports to: President and Executive Director Job Description We are looking for a highly organized and dedicated Executive Assistant to support the President and Executive Director of the Art of Living Foundation Philippines. The ideal candidate will serve as the key link between leadership, staff, teachers, coordinators, and partners — ensuring smooth operations, accurate reporting, and timely communication across the organization. The Executive Assistant will handle day-to-day administrative and coordination tasks, manage correspondence, facilitate the flow of Art of Living courses and programs, liaise with the Finance Department, and monitor teachers’ reports and schedules. The position requires professionalism, discretion, and a proactive approach to managing multiple priorities in a dynamic and service-oriented environment. Responsibilities Act as the main point of contact among the President, Executive Director, staff, teachers, and external partners. Manage all incoming and outgoing correspondence, including emails, letters, and memos. Facilitate the planning and coordination of Art of Living courses, including scheduling, logistics, teacher assignments, and venue coordination. Track and organize teachers’ post-course reports, ensuring timely submission and accurate records. Liaise with the Finance Department for collection reports, reimbursements, and financial documentation related to courses and events. Prepare reports, presentations, and briefing documents for the President and Executive Director. Maintain and update databases, participant lists, and course records. Assist in onboarding new teachers or volunteers and ensure compliance with reporting and documentation protocols. Support the organization of workshops, retreats, and special events. Manage calendars, arrange meetings, take minutes, and follow up on action items. Ensure confidentiality and proper handling of sensitive information. Support daily operations of the Executive Office and other tasks assigned from time to time. Qualifications Candidate must possess at least a Bachelor’s Degree in Business Administration, Management, Communications, or equivalent. At least 3–4 years of working experience in executive or administrative support is required for this position. Strong written and verbal communication skills in English and Tagalog. Excellent organizational and time management skills with the ability to multitask and prioritize. Strong proficiency in Microsoft Office and Google Workspace. Professional, resourceful, and capable of working with minimal supervision. Familiarity with Art of Living courses and operations is an advantage. Must be willing to work in Las Piñas City and occasionally travel for programs and events. Skills Strong interpersonal and teamwork orientation. Highly organized, meticulous, and dependable. Proactive problem solver with excellent decision-making skills. Strong attention to detail and ability to meet deadlines in a fast-paced environment. Ability to manage multiple priorities while maintaining accuracy. Positive, service-oriented attitude aligned with the values of the Art of Living Foundation.
