The company is actively looking to expand into different aspects of the industry. About the Role We are seeking a highly organized, professional, and proactive Virtual Executive Assistant/Back Office Administrator to take full ownership of all daily administrative functions. This role is crucial for freeing up the owner's time to focus on business expansion and strategic growth. The ideal candidate will have prior experience within the cleaning or home services industry and possess exceptional communication skills, particularly a neutral English accent and cultural alignment with US customers, to ensure seamless client interactions. Key Responsibilities Client Communication Answer inbound and make outbound phone calls in a professional manner, with fluent accent, to ensure clear communication with US-based customers. Managing and responding to all company emails promptly and professionally. Reaching out to former clients for follow-up and relationship management. Scheduling and Operations Scheduling and coordinating job appointments for the cleaning teams. Managing follow-ups for bookings and client inquiries. Business Development Support Generating new appointments and leads through outreach efforts. Supporting the owner with administrative tasks related to expanding into new aspects of the industry. Familiar with marketing content, creation preferred. General Administration Handling all general back-office administrative work to ensure the smooth running of daily operations. Adding value by identifying and addressing administrative efficiencies or issues that may be overlooked. Qualifications & Skills Experience – Proven experience as an administrative assistant, virtual assistant, or receptionist, preferably within the cleaning, home services, or a similar service-based industry. Communication – Fluent verbal and written English communication skills. Preferred due to the regional client base and frequent phone interaction. Customer Service – Strong customer service orientation with a proven ability to engage with clients smoothly and professionally. Proactivity & Common Sense – A self-starter with a high degree of common sense who can anticipate needs, catch mistakes, and add value to the business without constant micromanagement. Technical Setup – Must possess a reliable fiber optic internet connection and a backup power supply to ensure constant availability during scheduled work hours. Remote Readiness – Experience and comfort working in a remote capacity, demonstrating the ability to manage time and tasks effectively independently. AI Proficiency (Preferred) – Familiarity with the latest AI tools that can enhance administrative efficiency is a plus.
