Job DescriptionHere’s a list of typical duties and responsibilities for an On-the-Job Training (OJT) student in an Administrative (Admin) role . These tasks may vary slightly depending on the organization, but generally include:
1. Clerical and Office Support- Assist with filing, photocopying, scanning, and printing documents.
- Maintain proper organization of physical and digital records.
- Help prepare and organize office documents and correspondence.
- Encode data into spreadsheets, databases, or management systems.
- Update employee, client, or inventory records as needed.
- Ensure the accuracy and confidentiality of information.
- Answer phone calls and take messages.
- Greet and assist visitors or clients courteously.
- Handle incoming and outgoing mail or deliveries.
- Assist in setting up meetings and appointments.
- Help coordinate logistics for office events or activities.
- Maintain calendars and meeting agendas.
- Help monitor and maintain office supplies and equipment.
- Assist in preparing purchase requests or inventory lists.
- Provide support to HR, accounting, or other departments when needed.
- Assist in the preparation of reports, memos, or presentations.
- Observe office policies and procedures.
- Maintain confidentiality of sensitive or proprietary information.
- Participate in training or orientation sessions.
- Take initiative to learn office systems and processes.
- Currently enrolled in a college or university program (e.g., Business Administration, Office Administration, Management, IT, or related courses).
- Endorsement or referral from school for OJT purposes.
- Basic knowledge of office tools (e.g., Microsoft Word, Excel, PowerPoint).
- Good verbal and written communication skills.
- Basic typing and data entry skills.
- Ability to organize and file documents properly.
- Customer service skills (for front desk/reception roles).
- Willingness to learn and follow instructions.
- Professional attitude and appearance.
- Responsible, punctual, and detail-oriented.
- Ability to maintain confidentiality.
- Good interpersonal and teamwork skills.
- Completion of any required documents (e.g., resume, endorsement letter, OJT form).
- Availability during required training hours or schedule.
- Willingness to follow company policies and procedures.
