We’re seeking a creative and highly organized Executive Assistant to the Chief Marketing Officer . Provides
diverse and advanced administrative support for a senior officer. Utilizes technical and business knowledge, company policies and practices, and overall organizational awareness to support and communicate on behalf of the executive and/or officer.

Position Responsibilities:

Provide Administrative Support to the CMO
  • Calendar and meeting management
  • Arrange and coordinate travel and meeting schedules, including travel agendas and meeting schedules. Handle details involving foreign travel such as entry papers, currency, passports, and visas
  • Expense management – Monthly submission for reimbursement & liquidation, complete expense reports, and maintain detailed expense records. Follow up on billing or expense discrepancies
  • Ensure timely submission of status reports from all direct reports of the CMO
  • Personal arrangements related to medical, staffing, and car maintenance
  • Maintain file records for the executive and/or officer
  • Perform other duties such as taking minutes of meetings or supporting departmental functions
Risk Management, Control, and Compliance
  • Ensure the Marketing Department complies with Records Management requirements
  • Assist in testing controls for efficacy as needed
  • Act as Marketing Coordinator for the Business Continuity Plan
Provide Administrative Support to the Marketing Team
  • Coordinate support for Tech, BCP, Finance, etc.
  • Assist in setting up on/offsite meetings involving senior leaders or executive committees
  • Support marketing in delivering value to the business and customers
  • Assist in event activations, planning, and execution
  • Serve as the office manager for staff on the floor
  • Interact with other executive assistants, committee members, and internal/external leaders to exchange information
  • Use applications to produce reports, spreadsheets, presentations, and onboard vendors
  • Plan, organize, and schedule own work
  • Handle corporate and regulatory matters such as license renewals, fee payments, filings, and reports
  • Relieve executives of administrative duties within guidelines
  • Manage projects and ensure timely completion
  • Communicate with internal and external contacts
  • Delegate tasks and update on progress
  • Gather, analyze, and prepare confidential information and reports, offering recommendations
  • Prioritize calls and meeting requests, responding personally when possible
  • Summarize incoming materials and determine necessary actions
  • Compose confidential correspondence and documents
Required Qualifications:
  • Bachelor’s degree
  • 7+ years of secretarial or administrative experience
  • 5-7 years of related experience
  • Proficiency in MS Office
  • Proficiency in English (speaking and writing)
Preferred Qualifications:
  • Understanding of organizational policies and practices
  • Skills in activity coordination, business partnering, prioritization, and service delivery
  • Ability to troubleshoot and support technical issues
  • Decision-making in prioritizing meetings and calls
  • Ability to improve administrative practices
