Location: Mckinley, Taguig

Position Overview: We are seeking a detail-oriented, proactive Warranty Renewal & Procurement Coordinator to join our growing team. In this critical role, you will manage the end-to-end lifecycle of warranty renewals for client assets, coordinate with vendors, and ensure contract continuity. You will leverage automated workflows and internal systems to drive timely, accurate, and seamless renewals while maintaining excellent communication with clients and internal stakeholders.

Responsibilities Warranty Renewal Management
  • Own and manage assigned warranty renewal portfolios, ensuring all renewals are handled proactively and within established timelines.
  • Monitor automated workflow systems for upcoming renewals, tracking all items to prevent lapses in coverage.
  • Initiate, track, and follow up on renewal opportunities, maintaining clear documentation of all actions taken.
  • Request and obtain timely, competitive quotes from vendors, validating all required asset and coverage details.
  • Collaborate with the Procurement team to prepare and submit renewal quotes for internal approval.
  • Negotiate renewal terms with vendors as needed to secure optimal pricing and service levels.
Client Communication & Support
  • Send approved renewal quotes and documentation to clients in a timely and professional manner.
  • Proactively follow up with clients on pending renewals, answer questions, and provide additional information to facilitate contract closure.
  • Serve as a knowledgeable resource for clients regarding warranty coverage, renewal options, and contract terms.
System & Record Maintenance
  • Accurately record all renewal activities and communications in HaloPSA or designated procurement systems.
  • Create or update asset records to reflect new contract terms, ensuring all dates and details are correct and compliant with internal standards.
  • Ensure data integrity and audit readiness for all procurement and renewal documentation.
Qualifications
  • Experience in procurement, contract administration, or warranty management, preferably in an IT MSP or technology environment.
  • Strong organizational skills and attention to detail; able to juggle multiple renewals and deadlines simultaneously.
  • Excellent written and verbal communication skills, with a customer service mindset.
  • Proficiency with procurement software, CRM, or PSA tools (e.g., HaloPSA) is highly desirable.
  • Ability to work independently in a remote team and collaborate cross-functionally.
  • Strong problem-solving skills and a process-driven approach to tasks.
  • Experience working with AI technologies, or a demonstrated willingness and ability to quickly learn and adapt to emerging AI tools and solutions, is desirable.
