Job Purpose

To manage the filing and processing of corporate entities, including Corporations, LLCs, and LPs, with the Secretary of State. This role involves data entry, document management, and client correspondence, ensuring high-quality service delivery and compliance with relevant regulations.

Key Responsibilities
  • Entity Filing and Processing: File Corporations, LLCs, and LPs with the Secretary of State.
  • Ensure accurate and timely processing of all entity documents.
  • Perform data entry and maintain organized records of all filings.
  • Client Interaction: Email clients the documents they request and respond to their inquiries in a timely manner.
  • Ensure each client receives the "Anderson Way" client experience.
  • Communicate with clients using proper phone, email, and office etiquette.
  • Administrative Support: Assist with various administrative tasks to support the Entity Processing team.
  • Maintain accurate and organized records of client interactions and document filings.
  • Provide training and support to new team members as needed.
  • Compliance and Documentation: Ensure compliance with federal, state, and local regulations governing entity filings.
  • Draft, review, and manage documents related to entity processing.
  • Conduct regular audits to ensure the accuracy and completeness of records.
  • Process Improvement: Identify opportunities for improving administrative processes and suggest enhancements.
  • Implement best practices and standard operating procedures to enhance team performance.
  • Lead initiatives to improve efficiency, accuracy, and service quality within the team.

Required Qualifications
  • Enjoy helping others and able to work well under pressure.
  • Excellent computer skills, including proficiency with MS Office and/or Google Workspace.
  • Strong organizational and problem-solving skills and a sharp eye for detail.
  • Outstanding written and verbal communication skills.
  • Ability to manage multiple projects simultaneously.
  • Experience with CRM systems is a plus.
Preferred Qualifications
  • Previous experience in entity processing or a similar role.
  • Knowledge of federal, state, and local regulations governing entity filings.
  • Certification in project management or a related field is a plus.
